Scope
This Privacy Policy explains how AgentTrainingAcademy collects, uses, discloses, and protects personal information for the public website, learner accounts, agency workspaces, courses, assessments, certificates, community, support, AI assistant, analytics, and subscriptions. It does not govern third-party services linked from the platform.
Information we collect
We may collect name, email, sign-in identifier, profile preferences, professional learning role, organization membership, and access role. Agency records may include organization name, assignments, invitations, enrollment, completion status, and skill-gap summaries.
Learning records may include lesson progress, video position, simulation responses, assessment answers and scores, attempts, badges, certificates, and timestamps. Community records may include posts, replies, reports, moderation decisions, and expert-review labels. Lead records may include name, business email, agency, team size, plan interest, consent, and source.
Stripe processes billing. We may retain Stripe customer and subscription identifiers needed to associate access with an account, but we do not store full card numbers, verification codes, or complete card credentials. Technical records may include IP address, device and browser information, pages viewed, referral details, error logs, and security events.
AI assistant data
Questions and responses may be processed to provide educational support, prevent abuse, diagnose errors, and improve safety. Do not submit live client, claimant, policyholder, payment, medical, authentication, or other sensitive information. A qualified person should review responses before use in an insurance workflow.
How we use information
We use information to provide and secure accounts; deliver courses, progress, assessments, badges, and certificates; operate agency dashboards; moderate the community; process leads and subscriptions; provide support; communicate service and policy updates; maintain integration guidance; prevent abuse; comply with law; and understand aggregate usage. We do not sell personal information for money or use it for unrelated third-party advertising.
Legal bases where applicable
Where a legal basis is required, processing may rely on performance of a contract, legitimate interests in operating and securing the service, legal obligations, and consent for specific optional communications or technologies. Consent may be withdrawn where it applies without affecting prior lawful processing.
How information is disclosed
Information may be disclosed to providers supporting hosting, authentication, storage, analytics, communications, AI processing, support, and payments; to an organization managing your agency workspace; to authorities under lawful process; and to advisers or transaction parties in a reorganization, financing, acquisition, or sale. Providers receive only information reasonably needed for their work.
Agency managers can view team enrollment, completion, role, and skill-gap information for their organization. Published community content is visible to eligible participants; moderation reports are restricted to authorized reviewers.
Retention
Information is retained as reasonably necessary to provide the service, maintain learning and certification records, meet contractual and legal duties, resolve disputes, prevent abuse, and support security. Billing and moderation records may be retained for accounting, legal, and safety purposes. Information no longer needed will be deleted or de-identified according to operational and legal requirements.
Security
We use administrative, technical, and organizational safeguards designed to protect information, including authenticated access, role-based authorization, managed infrastructure, transport encryption, limited provider access, and security logging. No system can guarantee absolute security. Protect account access and report suspected unauthorized activity promptly.
International processing
Information may be processed in the United States and other locations where providers operate. Where required, appropriate mechanisms will support lawful international transfers.
Choices and privacy rights
Depending on location, you may have rights to request access, correction, deletion, portability, restriction, objection, consent withdrawal, or appeal. Send requests to privacy@agenttrainingacademy.com. We may verify identity and authority, and may retain information required by law or needed for security, certification, payment, or dispute records.
Marketing communications can be stopped through the unsubscribe method or by contacting us. Essential service, security, billing, and policy messages may continue while an account is active.
Cookies and analytics
We may use essential cookies for sign-in, security, preferences, and core operation and limited analytics to understand usage, diagnose errors, and improve performance. Where required, nonessential technologies will be subject to notice or consent. Browser controls can limit cookies, but disabling essential cookies may prevent core functions.
Children’s privacy
AgentTrainingAcademy is intended for adult professional education and is not directed to children under 16. We do not knowingly collect their personal information. A parent or guardian who believes a child submitted information may contact privacy@agenttrainingacademy.com.
Policy changes
We may update this policy as the service, providers, and legal requirements change. We will revise the effective date and communicate material changes through the service or by email when appropriate.
